Administrator | Wealth Management Firm | Bank | £35,000 | 12-month FTC | Fully Office Based

A leading wealth management firm based in the City of London are seeking a proactive and reliable Administrator to support their Office Services team, who report into the COO. This is a 12-month fixed-term contract to cover maternity leave.

This is a dynamic, varied role that requires someone who can hit the ground running. You’ll support day-to-day office operations, working closely with teams across reception, facilities, and executive support. Typical duties include managing inboxes, processing invoices, updating floorplans, setting up new accounts, and handling expenses and diary coordination.

Key responsibilities include:

  • General office administration and coordination

  • Liaising with internal teams and external clients

  • Supporting with market data invoicing (monthly)

  • Diary and expense management for senior leaders (using Concur)

  • Using internal systems including Gallagher (security), Midas (travel), and Microsoft Office

  • Assisting with reception and facilities teams (This role is not reception-based)

  • Potential involvement in long-term office move planning (2026/27)

Ideal candidate profile:

  • Minimum 2 years’ experience in a similar administrative or office management role

  • Strong organisational skills with the ability to prioritise in a fast-paced environment

  • Confident communicator and problem solver

  • Flexible and hands-on – no two days are the same

  • Experience with minutes, invoicing, or basic facilities coordination is advantageous

The role is fully office-based (Monday–Friday, 8:30am–5:30pm), though flexibility is available for occasional appointments.
