Salary: £28,000 – £32,000 depending on experience
Hours: Full-time, 9:30am – 5:30pm
Working Pattern: Hybrid – 50% office / 50% home working

A leading law firm is seeking an experienced and highly organised Legal Secretary to join its London office on a 12-month fixed-term maternity cover contract.
This is a confidential opportunity to join a busy and collaborative team, providing high-quality legal secretarial and administrative support to 4 Partners and 5 Associates, working closely alongside another Department EA. You will be joining an established team and will work closely with 4 Partners, 5 Associates and another Department EA, providing coordinated and responsive support across the group.
The role offers a genuinely varied workload, combining traditional legal secretarial responsibilities with diary management, client liaison, meeting coordination, travel and wider business support.

The successful candidate will be an integral part of the team, providing proactive support and acting as a professional and personable point of contact for colleagues and clients.
The role will involve providing a broad range of legal secretarial and administrative support, including:
- Providing day-to-day legal secretarial and administrative support to Partners and Associates.
- Assisting with general legal administration, including file opening, billing, file closing and related processes.
- Formatting and preparing legal documents in line with the firm’s required standards and style.
- Managing multiple requests and competing priorities, ensuring colleagues are kept informed of progress and timescales.
- Providing a high level of client service and acting as a professional point of contact for external parties.
- Managing and coordinating diaries and Outlook calendars.
- Organising internal and external meetings, including room bookings, refreshments and IT requirements.
- Supporting the organisation and set-up of larger meetings and team events when required.
- Arranging UK and international travel.
- Managing telephone calls, voicemail, emails and out-of-office messages on behalf of team members when they are unavailable.
- Coordinating conference calls and virtual meetings via Teams, Zoom and other platforms.
- Distributing documentation electronically and in hard copy.
- Maintaining accurate and well-organised electronic and physical filing in accordance with firm procedures.
- Coordinating larger copying and printing requirements with the Office Services team and ensuring deadlines are met.
- Liaising with IT and relevant technology support teams to resolve queries and assist with the implementation of system or process changes.
- Supporting training, system updates and other business processes where required.
- Providing support to the Department EA on projects and initiatives.
- Working collaboratively with colleagues across the firm to ensure a seamless and professional service.
- Highly organised with excellent attention to detail.
- Proactive and able to anticipate requirements and identify potential issues.
- Comfortable managing multiple priorities and working to deadlines.
- Professional, approachable and confident when dealing with clients and senior stakeholders.
- An excellent written and verbal communicator.
- A strong team player who is equally comfortable working independently.
- Confident using Microsoft Office, particularly Outlook and Word, as well as Teams and other relevant systems.
- Adaptable and able to work effectively in a busy professional environment.
- Discreet and mindful of the confidential nature of working within a legal environment.
