In your integral role as Personal Assistant to the Operations Leads, your core responsibilities will include :
  • Executive Support: Manage the Operations Leads diary, correspondence, and travel, ensuring they are fully briefed and supported for meetings, visits, and events.
  • Act as a key point of contact, liaising with staff, governors, external stakeholders, and visitors
  • Meeting & Minute Taking: Coordinate, attend, and minute key internal and external meetings, including governance committees
  • Document & File Management: Draft correspondence, manage files, and maintain effective systems for document tracking, archiving, and version control.
  • Support the Lettings Manager by managing booking systems, coordinating documentation, maintaining revenue records
  • Assist the Health and Safety Adviser with compliance-related tasks, including training schedules, risk assessments, and operational logistics.
  • Oversee the Receptionist and Resources Officer, ensuring consistent front-of-house service, covering absences, and managing rotas and appraisals.
  • Project Involvement: Support and lead on key school projects or initiatives, applying research and planning skills to deliver outcomes within agreed timelines.
  • Continuously review and improve administrative processes, using initiative to streamline operations
  • Work closely with the wider administration and support teams to ensure coordinated holiday cover & smooth daily operations
About You
  • Excellent interpersonal skills; ability to relate well to people on all levels 
  • Excellent written and spoken communication skills
  • Ability to effectively plan, resource and organise projects
  • Fast accurate typing skills (at least 50 wpm)
  • Strong attention to detail
  • Good IT skills
  • Excellent problem-solving skills and ability to prioritise and use initiative in challenging situations
  • Discreet nature and ability to handle work of a highly confidential nature
  • Approachable, friendly and well presented
