Are you ready to step into a dynamic role as a PA for our client in construction. We’re searching for a dedicated individual with a keen eye for detail, impeccable organisational skills, and a proactive approach.

Key duties:

The role involves providing comprehensive diary management and full administrative support for the Divisional Sales & Marketing Director. As a central point of contact, the position requires general assistance and administrative support for the entire Sales & Marketing Team. Responsibilities include managing senior team expenses, processing invoices, and handling the department’s financial transactions, such as raising Purchase Orders, Minor Work Orders and Site Instructions when necessary. The role also encompasses organising overseas travel, including booking flights, hotels and managing complex itineraries. Additionally, the candidate will place orders for multiple Marketing Suites across various London locations, collate information and prepare documents for Management and Board Reports.

Occasionally, early morning starts will be necessary to assist with catering duties for meetings, including organising refreshments, breakfasts and lunches. The role also involves managing the team’s rota and holiday records, providing cover for the Main Reception desk as needed and liaising closely with the wider Business Support team. Flexibility is essential, as the role includes any other reasonable duties that may be requested. This comprehensive support ensures the efficient operation of the Sales & Marketing department and facilitates seamless communication and coordination within the team.

Person specification:

We are seeking a highly skilled Personal Assistant for our Sales and Marketing department, who will bring both technical proficiency and strong personal attributes to the role. The ideal candidate must demonstrate accurate and efficient typing skills, paired with excellent written and spoken English. Proficiency in Microsoft Office applications such as Word, Outlook, Excel, PowerPoint, and SharePoint are essential. The candidate should have prior experience supporting a team, ideally within the construction or property industry, although this is not a strict requirement. On a personal level, the candidate must be reliable with excellent timekeeping, embodying a ‘can-do’ attitude and a willingness to engage fully in their duties. Flexibility and the ability to handle confidential and sensitive information with discretion are crucial. We are looking for someone who is highly accurate, well-organised, and capable of maintaining composure under pressure. The candidate should be hardworking, capable of thinking on their feet, and able to work on their own initiative. Clear communication skills and a personable nature will be key to their success in this role.
